Your access to and engagement with the Service is subject to your agreement to these terms. These conditions apply to all visitors, clients, and individuals utilizing the Service.
By using or navigating this platform, you acknowledge and accept these Terms. If you do not agree with any portion of these Terms or breach them, access to the Service may be revoked or penalties may apply.
1.0 External Website Links
Our platform may include references or hyperlinks to external websites or services not owned or managed by Adventure Aspirant. However, we do not endorse or associate with malicious or suspicious websites.
Adventure Aspirant holds no authority over, and disclaims responsibility for, the content, policies, or procedures of any third-party sites. You acknowledge that we are not liable for any damage or loss arising from the use of or reliance on such external content, products, or services.
We highly recommend reviewing the policies and terms of any third-party websites you visit.
1.1 Applicability of Booking Terms
Your booking contract with us is governed by these terms and conditions. A formal agreement is established once your deposit is received (or other required payment for late bookings) and we provide written confirmation. If a section of this contract is deemed unenforceable, the remaining clauses remain intact and enforceable.
By booking, you confirm you are authorized to accept and are agreeing to these conditions on behalf of all participants in your party. All bookings must be made by an individual aged 18 or older. In group bookings, the first person listed who is 18 or above will be considered the ‘group representative’ and is responsible for all payments due.
Submitting our Booking Form signifies your understanding and acceptance of these booking terms.
1.2 Flight Disruptions During Travel
Air travel during the trip may be affected by adverse weather or other unforeseen circumstances. In such cases, travelers are responsible for their own food and accommodation expenses incurred during delays. Adventure Aspirant is not liable for any rescheduling or disruptions caused by factors outside of our control.
Likewise, any deviation from the planned route that results in extra costs will not be covered by Adventure Aspirant.
1.3 Last-Minute Reservations
We accept last-minute bookings up to 7 days prior to departure for Nepal-based journeys with 100% advance payment. For Bhutan and Tibet expeditions, bookings must be confirmed with full payment at least 14 days in advance.
1.4 Trip Cancellation Policy
If you must cancel your tour due to personal, medical, or other reasons, the following charges apply:
- 25% fee if cancellation occurs 60+ days before departure
- 50% fee if canceled between 14 and 30 days in advance
- No refund for cancellations within 2 weeks of departure or for no-shows
However, if valid proof is provided (e.g., medical certificate), your funds may be held as credit for a future trip.
If a traveler exits the journey early for any reason, they are responsible for any resulting costs including hotel stays or emergency transport.
Should a route change be necessary due to uncontrollable events, no refunds will be issued, though we will make every effort to ensure a smooth and enjoyable continuation of the experience.
Note: We recommend making only a 25% deposit via online payment rather than paying in full initially.
1.5 Termination Clause
We reserve the right to suspend or revoke your access to the Service immediately and without prior notice in the event of a breach of these terms.
Any section of this agreement that should naturally continue after termination (such as liability limitations or indemnity clauses) will remain valid.
2.0 Travel & Health Insurance
All adventurers are required to have appropriate travel and expedition insurance that covers injury, medical treatment, evacuation, and repatriation (such as airlifts or helicopter rescue services). Coverage for descending by alternative transport (like a horse or porter) is also mandatory.
2.1 Itinerary Adjustments
Accommodation on tours may include hotels, homestays, guesthouses, tea houses, or tented camps depending on the location and tour type.
Trek durations can vary due to fitness levels, porter or vehicle delays, weather disruptions, or trail conditions. Destination changes may be necessary. In rare cases, trips may be rerouted or canceled entirely due to unforeseen circumstances.
We ask for your flexibility in such cases and will strive to accommodate your needs as best as possible.
2.2 Legal Jurisdiction
These Terms are governed by and interpreted under the laws of Nepal. Any failure to enforce a specific right does not waive that right. If any clause is deemed invalid by a court, the rest of the agreement remains in effect. These Terms represent the full understanding between you and Adventure Aspirant.
2.3 Changes to Terms
We reserve the right to alter these Terms at any time. If changes are substantial, we aim to provide at least 30 days' notice before the new terms become active. What constitutes a material revision will be determined at our sole discretion.
2.4 Payment Policy
The remaining trip balance can be paid upon arrival in Nepal. Credit card payments incur a 3–4% service fee. There is no extra charge for bank transfers or cheque payments. A 25% advance deposit is required at the time of booking.
2.5 Participant Conduct
Guides and trek leaders representing Adventure Aspirant hold full authority during the trip. Any traveler displaying disrespectful or unlawful behavior may be dismissed from the group without a refund.
All participants are expected to show environmental consciousness and respect for local customs and communities.
3.0 Data Privacy
Your privacy is important to us. Personal information is collected only as needed to process inquiries, reservations, or promotional material. Your data will be processed in line with our Privacy Policy and data protection legislation, including the EU GDPR and Data Protection Act 2024.

3.1 Emergency Assistance
If you experience difficulties during your trip, we will assist in coordinating medical aid, local authorities, or consular support. We may also help arrange alternative plans. However, if the problem is caused by your actions, you will be responsible for any costs involved.
3.2 Independent Excursions
Any additional tours or activities you book separately while on your trip are not part of the package offered by Adventure Aspirant. These are governed by the terms of the provider, and we hold no responsibility for the quality or safety of such excursions.
3.3 No-Refund Policy
This policy highlights that fees are non-refundable if a traveler cannot complete the trek for any reason. It is your responsibility to ensure physical and mental readiness for the trip. We recommend consulting a medical professional beforehand.
In rare cases, partial refunds or credits may be granted solely at our discretion and are not guaranteed.
Expenses related to third-party services (e.g., transportation, hotels) booked through us are also non-refundable, even if the trip is not completed.
Continued Use of Service
By continuing to use this site or our services after changes are made, you agree to the updated Terms. If you do not accept the revised Terms, you must stop using the Service.
